The Challenge
CRIDANSE’s teaching staff were spending a meaningful share of their time answering the same routine questions, instead of the ones that actually needed a teacher.
- Repetitive questions: students asked the same routine questions repeatedly, taking up time that could go toward more meaningful support.
- Unstructured material: course and reference material existed, but was not organized in a way that made it easy to search or reuse.
- Inconsistent response times: answers depended on staff availability, which varied for students needing quick help.
- No visibility into common gaps: there was no system to track which questions came up most often, so recurring gaps in materials went unnoticed.
Our Approach
We focused first on what students actually ask and what material already exists, so the assistant would be useful from day one rather than a generic chatbot.
- Reviewing common student questions and existing course material with the CRIDANSE team
- Structuring a controlled knowledge base the assistant could reliably draw from
- Defining clear boundaries for what the assistant should and should not attempt to answer
Solution
We built an LLM-based assistant connected to a controlled knowledge base, designed to support teaching staff rather than replace them.

1. LLM-Based Assistant
- Conversational assistant built on a large language model
- Personalized responses based on the student’s question and context
- Consistent availability outside regular teaching hours

2. Controlled Knowledge Base
- Course material and reference content structured for accurate retrieval
- Answers grounded in approved material, not open-ended generation
- Easy for staff to update as course content changes

3. Routine Question Automation
- Automated handling of frequently repeated student questions
- Clear hand-off to a teacher for anything outside the assistant’s scope
- Teaching staff freed up for questions that need real judgment

4. Monitoring & Ongoing Improvement
- Tracking of common questions to spot gaps in course material
- Regular review of answer quality and edge cases
- Continued tuning of the knowledge base and assistant behavior
Key Results
The assistant now handles a meaningful share of routine questions on its own, giving teaching staff more time for the support that actually needs a person.
-40%

Long-Term Partnership
We continue to work with CRIDANSE to expand the knowledge base, refine answer quality and adjust the assistant as course content changes.
The assistant is maintained as a supporting tool for teaching staff, not a fixed, one-time deployment.
